Summary: We are looking for a detail-oriented and proactive Office Manager and Executive Assistant to join our team. The ideal candidate will provide crucial support in various executive support, office management, and administrative functions, ensuring the smooth operation of day-to-day activities.

Essential Duties and Responsibilities:

1. Organization-Wide Communication:

  • Disseminate information on events, corporate activities, cultural announcements, and other organizational updates.
  • Maintain clear and effective communication channels within the organization.

2. Arcamed Gear Coordination:

  • Manage Arcamed gear store, including distribution and inventory.
  • Ensure timely and accurate allocation of company merchandise.

3. Assist with Meeting Coordination, notes, and minutes:

  • Schedule and coordinate meetings, including room bookings and equipment setup.
  • Create and distribute agendas, revise as necessary, and follow up on action items.
  • Take appropriate meeting minutes and prepare recap emails for distribution.
  • Ensure accurate documentation of discussions, decisions, and action items.

4. Front Door Calls:

  • Act as the operator for front door calls, directing inquiries to the appropriate departments.
  • Collaborate with team members to handle visitor arrivals professionally.

5. Executive Assistant to Board Chair:

  • Assist the Board Chair with calendar management, communications, and file organization.
  • Provide occasional document drafting and editing support.
  • Assist in meeting preparations and dissemination of post-meeting action items.
  • Responsible for meeting minutes, record maintenance, and file management.

6. Mail Handling:

  • Open and sort incoming mail efficiently.
  • Manage the deposit of checks and maintain accurate records.

7. Digitization of Accounts Payable Files

8. Problem-Solving: Assist Leadership and cross-functional teams in problem-solving task forces.

Credentials and Experience:

  • Previous experience in a similar role.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficient in Microsoft Office Suite.
  • Discretion and confidentiality in handling sensitive information.
